Thank you for purchasing an Equipment Class Membership at Pilates Center of Rockville. This guide is designed to help you confidently manage your schedule, understand key policies, and maximize the benefits of your membership. Inside, you’ll find everything you need to know about booking classes, rescheduling, cancellations, and helpful tips to support your Pilates practice and growth.
Booking & Rescheduling Classes
We’ve recently made system enhancements that give members greater scheduling flexibility, making it easier to book and reschedule classes online at any time within your membership term. This flexibility is offered as a courtesy to members and is designed to support rescheduling of recurring class reservations and allow you to take advantage of booking additional classes at your discounted membership rate.
To help ensure fair access for everyone in our community, please book only the classes you intend to attend. Booking extra classes simply to hold a spot limits availability for other clients. Misuse of the booking system may result in these booking privileges being revoked.
IMPORTANT BOOKING NOTE:
You will not be charged at the time of booking. However, if you book classes beyond your monthly membership allotment, those sessions will be charged to your stored credit card on file at your discounted membership per-session rate when we reconcile accounts on or around the 2nd of each month. Please book additional classes only if you plan to attend them, as these charges are non-refundable.
How to Book Classes Online
Scheduling online is the quickest and most convenient way to manage your classes. You’ll see real-time availability and can book instantly—no waiting and no back-and-forth. Booking in person, by phone, or by email may result in delays or limited availability.
Create Your Mindbody Account
(If you don’t already have one or need to reset your password)
- Visit our Mindbody site and click the orange “Sign In” button.
- Enter your email address—please use the same email address we have on file and that this guide was sent to.
- Follow the prompts to create your Mindbody account. This will automatically link to your existing profile in our system.
- You’ll be asked to verify your account by email. Once verified, you can log in using your new Mindbody credentials on our website, the Mindbody site, and the Mindbody app.
- If you already have a Mindbody account but forgot your password, click “Reset it here” and follow the instructions.
You can book your classes using any of the options below:
1. Book Classes on Our Website
This is the easiest way to book individual classes.
- Visit our Book Classes webpage
- Find your desired class and click “Sign Up”
- Log in and complete your booking
- If the class is full, you will see a “Join Waitlist” button instead, which allows you join the waitlist.
2. Book Classes on Our Mindbody Site
This option works well if you want to set up recurring reservations.
- Go to the Class Schedule
- Find your desired class and click “Sign Up Now”
- Log in and be sure to click “Register with Membership” to complete your booking.
- If the class is full and a waitlist is available, the “Sign Up Now” button will still appear. Click “Sign Up Now” to be added to the waitlist. If both the class and waitlist are full, you will be informed that no spots are available.
3. Book Classes Using the Mindbody App
This is ideal for booking and managing classes on the go.
- Download the Mindbody App (available for iPhone and for Android)
- Log in using your Mindbody credentials
- Search for Pilates Center of Rockville and add us to your Favorites
- From the schedule of classes, Tap the “Book” button to reserve your spot.
If the class is full, you will see a “Waitlist” button instead, which allows you join the waitlist.
Managing Your Schedule
Please monitor your schedule closely, as it is your responsibility to manage your membership usage. This includes:
Monitoring usage of your allotted monthly classes, which must be used within the billing month. As a courtesy, limited rollover graces periods are provided:
- 4 Classes/Month – Classes expire after 37 days (7-day grace period)
- 8 Classes/Month – Classes expire after 45 days (15-day grace period)
- 12 Classes/Month – Classes expire after 60 days (30-day grace period)
- Track any additional classes booked beyond your membership allowance.
Note that any classes booked beyond your monthly allotment are non-refundable.
Using Waitlists
Our waitlists are very effective and function much like reserving a class. You can join a waitlist through our website, Mindbody site, or Mindbody app by selecting the Waitlist option as noted in the How to Book Classes Online section above. When you add yourself to a waitlist, please do so only if you’re prepared to attend should a spot become available.
- If a space opens, you will be automatically added to the class up to 24 hours before the start time
- You’ll receive an email notification when you’re moved from the waitlist into the class
- Be sure you are opted in to receive our Mindbody emails
Important:
You will not be charged when you join a waitlist. However, if you’re added to the class, it will be deducted from your available monthly membership allotment. If it exceeds your monthly allotment, you will be charged for the class at your discounted membership per-session rate.
If you know you can no longer attend, please remove yourself from the waitlist immediately. Once you are moved from the waitlist into the class, the 24-hour cancellation policy applies.
Canceling Classes
All studio policies, including our standard 24-hour cancellation policy, apply to all sessions.
Accepted Cancellation Methods
Cancellations must be submitted by one of the following methods:
- Online in your Mindbody account (recommended)
- Written in the Cancellation Request Log at the Front Desk
- Email to info@pilatescenterofrockville.com
We strongly recommend cancelling online, as it provides immediate confirmation and helps you accurately track your schedule.
Important:
We do not accept verbal cancellations, including:
- In-person
- Phone calls
- Voicemail
If we do not have a record of your cancellation through one of the approved methods, you will be charged for a late cancellation.
Using Courtesy Late Cancels
Your membership includes a limited number of courtesy late cancellations per calendar year. These allow us to waive the charge for a cancellation made within the 24-hour window.
To use a courtesy late cancel, you must request it at the time of cancellation. If not requested, the class will be deducted from your monthly membership allotment.
